Below we have summarised how as a Not Just Travel agent you are able to work with Not in the Guidebooks. By registering as an agent, you accept and agree to these booking procedures and conditions.

Booking Procedure:
Not in the Guidebooks experiences are either on a ‘check availability’ or ‘book now’ status – this is made clear when looking at each experience.
Check Availability means we need to check with our host that they have the date/s and or time/s requested. This can take up to 48 hours but often is much quicker – confirmation of availability will be sent via email and if you wish to confirm the experience you must click the ‘confirm’ button within 24 hours of receiving the email.
Book Now means this experience is available to book and is confirmed immediately.
All bookings should be submitted via our website (please ensure you are logged in with your unique username and password). Should you have any questions you can use our online chat facility or call us on 0203 048 3044.
If you wish to go ahead with a booking, either click the ‘check availability’ or ‘book now’ button. Select your dates and if applicable time along with any other information relevant to the chosen experience. A price will be confirmed underneath the calendar and when you proceed through to the next page where you can enter your customers name/s.
Continue to the summary page where details of what you are requesting/booking will be detailed. If you wish to go ahead simply click the pink ‘book now’ or ‘check availability’ button. If the experience is on a ‘book now’ basis, this is confirmed immediately, and you will receive an email to confirm this. If the experience is on a ‘check availability’ basis, we will contact the host immediately to see if available. Once we have had a response back from our host, we will send you an email to confirm if available or contact you via phone/email if the experience is not available and offer alternative dates/options if applicable. If your chosen experience is available, the email we send will contain a ‘confirm now’ button within it. You have 24hours from receipt of this email to confirm whether you would like to go ahead and confirm the experience by clicking this ‘confirm now’ button. After this time, if the ‘confirm button’ has not been pressed the experience availability will be released.
Once an experience is confirmed, you will receive a confirmation. An experience voucher will follow closer to the experience date (approx. 4 weeks) and will include host details and any relevant joining instructions.
It is important when making an availability request/booking with us that you provide us with the customers email address and telephone number so we can pass this to the host and they can make contact in the event of an emergency. The details will not be used for marketing purposes.
Customer Deposits & Balance Payments
A deposit (or full payment if within 12 weeks of experience date) should be collected from your customer at booking stage. Our standard deposit is 25%.
All balance payments should be collected from the customer 12 weeks prior to experience date.
Gift Vouchers/Experience Vouchers – full payment should be collected from your customer at time of purchasing the voucher and are non-transferable or refundable.
Rates/Payments to Not in the Guidebooks
All experiences booked will be invoiced and a commission rate of 10% will be applied as per our agreement with Not Just Travel via Hays Travel
For all experiences a deposit of 25% of the total experience cost must be collected on booking with the remaining balance due 12 weeks before.
Cancellation/Amendment Charges
All amendments and cancellations must be made in writing via email to support@nitgb.com
Cancellation charges:
Prior to 60 days (date not included) – loss of deposit, 25% of total experience cost
Between 60 and 30 days (date included) – loss of 50 % of total experience cost
Less than 30 days (date not included) – loss of 100% of total experience cost
Please note: Some experiences including Lapland have different cancellation charges on certain dates – please check at time of booking.
Please note experience vouchers and gift vouchers are payable on booking, non-refundable and cannot be exchanged for cash.
Amendment charges:
If you wish to change any part of your customers booking after our confirmation invoice has been issued, you must inform us in writing as soon as possible. Whilst we will do our best to assist, we cannot guarantee that we will be able to meet your requested change. Where we can meet a request, all changes will be subject to payment of an administration fee of £25 per person per change, as well as any costs and charges incurred by us and/or incurred or imposed by any of our suppliers in making this change. You should be aware that these costs could increase the closer to the departure date that changes are made. Where we are unable to assist with an amendment and your customers does not wish to proceed with the original booking, we will treat this as a cancellation and relevant charges will apply. Note: Certain experiences may not be amended or transferred after they have been confirmed and any alteration could incur a cancellation charge of up to 100% of that experience
